Hotel Pre-Authorization: How Estimated and Incremental Authorizations Work

Hotel pre-authorization is a request to the guest’s bank to reserve an estimated amount for a stay before the final bill is known. The hotel authorizes room, tax, and incidentals at check-in, adjusts the amount during the stay, and captures the real total at checkout. Pre-authorization is the core workflow of hotel credit card processing.

What does pre-authorization mean for hotels?

Pre-authorization means the hotel has confirmed the card is valid and that the guest’s bank has set aside the authorized amount. No money moves yet. The funds stay reserved until the hotel captures them or releases the hold.

What are the 4 types of hotel authorizations?

Card networks give lodging merchants 4 authorization types that retail merchants cannot use:

  1. Account verification: a $0 check at booking that confirms the card is real.
  2. Estimated authorization: the check-in hold for the expected stay total.
  3. Incremental authorization: an addition to the existing hold when charges exceed the estimate.
  4. Delayed charge: a separate charge after checkout for items found later, such as minibar use or damage.

Why does an incremental authorization matter?

An incremental authorization adds to the original hold instead of creating a second one. The guest sees 1 pending amount that grows, not 2 holds that look like a double charge. For example, a guest checks in with a $596 hold, spends $220 at the restaurant, and the PMS sends a $100 incremental authorization the moment the folio passes the original amount. Our hotel credit card holds guide shows how this reduces guest complaints.

How long is a hotel pre-authorization valid?

A hotel pre-authorization stays valid for up to 31 days on Visa estimated lodging authorizations and up to 30 days on Mastercard pre-authorizations. Stays longer than that need a partial capture and a new authorization before the window closes.

What happens when an authorization expires?

An expired authorization can still be captured, but the transaction downgrades to a higher interchange rate and loses its protection if the guest disputes it. Properties with long stays should schedule partial captures every 7 to 14 nights.

How should a hotel size the pre-authorization?

A hotel should size the pre-authorization at the room and tax balance plus a disclosed incidental amount. 3 factors set the incidental figure:

  • Average incidental spend per night at the property
  • Share of guests paying with debit cards
  • Outlets that allow charges to the room, such as a spa or restaurant

Setting the hold too high declines guests at check-in. Setting it too low leaves unpaid folios. Incremental authorizations remove the need to guess.

Do all PMS and gateway setups support incremental authorization?

No. Incremental authorization needs support in the PMS, the gateway, and the processor. Many retail-first gateways cannot send it, so the PMS falls back to a second full authorization. Check this before signing, using the checklist on our hotel payment gateway page.

Can a hotel capture more than the pre-authorized amount?

A hotel can capture slightly more than the pre-authorized amount, but the safe path is an incremental authorization first. Network rules allow lodging merchants a small tolerance above the authorized amount, and anything beyond it risks a decline at settlement or a successful dispute. 2 habits prevent overages:

  • Run an incremental authorization when the folio passes the hold.
  • Capture before the authorization expires.

How do pre-authorizations affect chargebacks?

Pre-authorizations reduce chargebacks when the captured amount matches the folio and the guest accepted the policy at check-in. A capture larger than the authorized amount, without an incremental authorization, gives the guest a valid dispute. The hotel chargebacks guide lists the reason codes involved.

How does pre-authorization differ for prepaid stays?

Prepaid stays use a smaller pre-authorization because the room is already paid. The hotel authorizes incidentals only, often 1 flat amount for the stay. Guests who prepaid through an OTA may arrive with a virtual card for the room, and our guide to OTA virtual credit cards covers that case.

Frequently asked questions

Do I get pre-authorization money back from a hotel?

Yes. A pre-authorization is a hold, not a charge. At checkout the hotel captures the final bill and releases the unused amount, which returns to the guest's available balance once the bank processes the release.

Can a hotel pre-authorization be declined?

Yes. The issuing bank declines a pre-authorization when the amount exceeds the available credit or debit balance, or when the card is blocked for fraud. The front desk then asks for another card or a smaller hold.

How much do hotels pre-authorize?

Hotels pre-authorize the expected room and tax total plus an incidental amount, usually $50 to $200 per night. Luxury hotels and resorts often set higher incidental amounts.
